AutoCount Item Scope Plugin is an AutoCount add-on that controls item visibility and access rights within AutoCount Accounting software. Built for Malaysian SMEs operating across multiple departments, branches, or user roles, this plugin restricts which items each user can view, select, and transact. Define item scope rules by user, department, branch, or item group to prevent data entry errors, enforce product segregation, and maintain transaction accuracy across the organisation. LHDN-compliant and compatible with AutoCount.

AutoCount Item Scope Plugin — Item-Level Access Control for AutoCount Users
AutoCount Item Scope Plugin is an AutoCount Accounting add-on that allows administrators to control which stock items each user can view and access when creating documents. Create item scopes — defined subsets of your inventory catalogue — and assign them to specific users. When a user creates a sales invoice, purchase order, delivery order, or any stock document, they only see and can select items within their assigned scope. All other items are hidden from their view. Designed for Malaysian SMEs that need item-level access control to enforce role separation, prevent data exposure, and maintain operational discipline across teams.
Why AutoCount Item Scope Plugin?
In standard AutoCount Accounting, every user with document entry access can see and select from the entire item catalogue. A salesperson selling mobile phones sees the same item list as a salesperson selling laptop accessories. A warehouse staff member processing goods received sees every item in the system — including items they have nothing to do with. This creates confusion, errors, and potential data exposure. The Item Scope Plugin solves this by letting administrators define exactly which items each user can access. Each user sees only what's relevant to their role — nothing more, nothing less.
AutoCount Item Scope Plugin Key Features
Item Scope Maintenance
Create and maintain item scopes from a centralised maintenance screen. An item scope is a named group of stock items — for example, "Mobile Phones," "Computer Accessories," "Building Materials," or "F&B Ingredients." Add items to a scope by individual selection, by item group, by item type, or by any other criteria. You can create as many scopes as your business needs — one per department, one per product line, one per branch, or any combination.
User-to-Scope Assignment
Assign one or more item scopes to each user. When Salesperson A is assigned the "Mobile Phones" scope, they can only see and select mobile phone items when creating quotations, sales orders, invoices, delivery orders, and all other documents. Items outside their scope do not appear in their item lookup or item selection screens. Administrators can assign multiple scopes to a single user if they handle more than one product line.
Document-Level Item Restriction
The scope restriction applies across all document types — sales documents (Quotation, Sales Order, Delivery Order, Invoice, Credit Note, Debit Note), purchase documents (Purchase Order, Goods Received Note, Purchase Invoice, Purchase Return), and stock documents (Stock Receive, Stock Issue, Stock Transfer, Stock Adjustment). Every screen where a user selects an item is filtered by their assigned scope. No workaround, no override — the restriction is enforced at the system level.
Administrator Full Access
Administrators and users without scope restrictions retain full access to the entire item catalogue. The plugin only restricts users who have been explicitly assigned to a scope. This means management and supervisors can still view all items, generate company-wide reports, and create documents with any item — while frontline staff operate within their defined boundaries.
Flexible Scope Configuration
Item scopes are fully configurable and can be updated at any time. Add new items to a scope when your product range expands, remove discontinued items, or reassign users to different scopes when roles change. The plugin adapts to your business as it evolves — scope definitions are not permanent.
Who Should Buy AutoCount Item Scope Plugin?
Multi-Department Businesses with Diverse Product Lines
Companies with distinct departments handling different product categories — electronics department, stationery department, furniture department — where each team should only access their own items. The plugin prevents Department A's staff from accidentally selecting Department B's items in documents.
Wholesale & Distribution Companies with Multiple Sales Teams
Distributors where different salesmen or sales teams handle different product lines. Salesperson A sells hardware items, Salesperson B sells electrical items. Item Scope ensures each salesperson only sees their product line — reducing selection errors, speeding up document entry, and preventing cross-team confusion in a large item catalogue.
Multi-Branch Businesses with Location-Specific Inventory
Businesses where each branch carries different products. Branch A sells clothing while Branch B sells electronics. Assign branch-specific item scopes so each branch's staff only sees items relevant to their location.
Businesses with Large Item Catalogues
Any Malaysian SME with hundreds or thousands of items where scrolling through the entire catalogue to find the right item slows down document entry. Item scopes filter the item list to only what's relevant — a salesperson handling 50 items doesn't need to scroll through 5,000.
Businesses Requiring Data Confidentiality Between Departments
Companies where certain product lines, pricing, or item details should not be visible to all staff. The plugin restricts item visibility so users cannot see cost prices, supplier details, or stock quantities for items outside their scope.
AutoCount Item Scope Plugin vs Filter by Salesman Module
These serve different purposes. Filter by Salesman (available in AutoCount Premium) restricts document visibility — each salesman only sees their own transactions. Item Scope Plugin restricts item visibility — each user only sees their assigned items when creating new documents. Filter by Salesman controls who sees which documents. Item Scope controls who sees which items. Many businesses need both — a salesperson who can only see their own invoices (Filter by Salesman) and can only select their product line's items (Item Scope).
