What We Migrate

Debtor Master (Customer Records)

Import all customer records into AutoCount's Debtor Maintenance — debtor code, company name, contact person, phone numbers, email address, billing address, delivery address, credit terms, credit limit, tax registration number, and any UDF field data. Every customer from your previous system or Excel customer list is created in AutoCount with complete details. Your sales team can start issuing invoices to existing customers immediately after migration.

Creditor Master (Supplier Records)

Import all supplier records into AutoCount's Creditor Maintenance — creditor code, company name, contact person, phone numbers, email address, payment terms, bank account details, tax registration number, and UDF fields. Every supplier is ready for purchase order creation and invoice recording from day one. No "supplier not found" errors when your purchasing team starts working.

Item / Stock Master (Product Records)

Import all stock items into AutoCount's Item Maintenance — item code, description, description 2, item group, item type, category, base UOM, selling price, cost price, reorder level, barcode, tax code, and UDF fields. For businesses with product variants, batch settings, multi-UOM configurations, or complex item structures, we configure each item according to your requirements. Your inventory is fully set up — ready for sales, purchasing, and stock operations.

Chart of Accounts

Import or configure your chart of accounts in AutoCount's GL module — account codes, account names, account types (asset, liability, equity, revenue, expense), account groups, and reporting categories. If you're migrating from another system, we map your existing chart of accounts to AutoCount's structure. If you're starting fresh, we set up a chart of accounts tailored to your industry and Malaysian reporting requirements.

Opening Balances

Import opening balances to ensure your AutoCount books start with accurate financial positions — AR opening balances (what customers owe you), AP opening balances (what you owe suppliers), stock opening quantities and values, bank balances, and GL opening balances. How Master Data Migration Works

1. Provide Your Data

Export your master data from your current system — or provide your Excel/CSV files containing debtor, creditor, item, and account records. The data doesn't need to be perfectly formatted — we handle the cleaning and preparation.

2. We Clean & Validate

We review your data for completeness, consistency, and compatibility with AutoCount's field structure. Duplicate records are flagged. Missing required fields are identified. Code formats are standardised. Data types are validated (dates, numbers, text). We present any issues for your confirmation before importing — no garbage in, no garbage out.

3. We Map & Import

We map your data fields to AutoCount's corresponding fields — your column "Customer Name" maps to AutoCount's "CompanyName," your "Phone" maps to "Phone1," and so on. The mapped data is imported into your AutoCount account book using AutoCount's import tools. Every record is created with complete field data.

4. We Verify & Hand Over

After import, we verify record counts (all debtors imported, all items present), spot-check data accuracy (addresses, prices, balances), and confirm opening balances tally. We walk you through the imported data in AutoCount — debtor listing, creditor listing, item listing, chart of accounts, and opening balance trial balance. Your AutoCount system is ready for live operations.
